1. Bookings
Due to the site access agreement in place, parking at WVFS is only available for the duration of scheduled sessions. If you are interested in hiring the site for private events or sessions, please contact Emma at: wentwoodvalleyfs@gmail.com, and she will be happy to pass your details on to the appropriate person.

Only one free play pass is permitted per family or carer booking, and all play pass bookings are subject to availability. This is due to the limited capacity of each forest school session to ensure a safe and engaging experience for all participants.

Session bookings must be made directly with the Forest School Leader to prevent overbooking and to ensure compliance with health and safety regulations.

As the owner of WVFS, I may occasionally update our Terms and Conditions to reflect changes in our services or to keep things running smoothly and safely. I’ll always aim to communicate any important updates clearly.

2. Cancellations and Refunds
a. Weather-Related Cancellations
WVFS sessions proceed in all weather conditions except where severe weather warnings are issued. This includes:

High winds rated Force 7 or above on the Beaufort Scale

Dangerous storms as forecast by the Met Office
In such cases, access and safety may be compromised due to woodland hazards. Parents will be notified by 8:00 PM the evening before if a session is cancelled due to adverse weather. An additional session will be offered to compensate. If a makeup session cannot be scheduled, a 75% refund of the session fee will be issued. Please check your email prior to each session for updates or potential weather-related cancellations.
b. Illness or Unforeseen Circumstances
If a session is cancelled due to staff illness or unforeseen events, it will be rescheduled. If this is not possible, a full refund will be issued.
c. Early Session Termination
In the unlikely event that a session must end early due to an incident affecting staff-to-child ratios or other health and safety concerns, and the majority of the session is missed, a 50% refund will apply.
3. Participant, Parent/Carer Cancellations
WVFS understands that plans can change and aims to be as flexible as possible. However, sessions are non-refundable unless a cancellation notice is provided at least 14 days prior to the first scheduled session.
If your child will be absent, please inform the Forest School Leader (FSL) in advance to ensure accurate attendance records.
4. Complaints Procedure
WVFS is committed to providing high-quality experiences. Should you have any concerns:

All complaints will be addressed with care and professionalism, with a response provided within 7 days or prior to the next session. Your feedback helps us continually improve our service.
